Here’s exactly what happens when you walk in the door at 41 S Medical Park Drive — so you can show up calm and ready, no matter how long it’s been since your last dentist.

A relaxed, careful first hour.
Step 1 · Check-in
A short, friendly welcome.
Plan to arrive about ten minutes early so the front desk can verify your insurance and confirm the registration you filled out from home. If you haven’t completed your forms yet, we’ll hand you a tablet — about fifteen minutes.
Step 2 · Comprehensive exam
Imaging, scan, and a full look around.
We take a low-dose digital X-ray series and a chairside Itero scan to build a 3D model of your teeth. Dr. Podbesek reviews everything with you on the screen — gum health, bite, existing restorations, anything that needs attention.
Step 3 · Cleaning (when appropriate)
A gentle, thorough hygiene visit.
If your gums are healthy, your hygienist completes a prophylactic cleaning the same day. If we find more significant tartar or gum inflammation, we’ll book a follow-up visit for the right type of cleaning rather than rushing it.
Step 4 · Plan and questions
A written plan you actually take home.
Before you leave, you get a written treatment plan with cost estimates and your insurance benefit applied. Nothing on that plan happens until you say go.
First Visit Checklist
What to bring.
- Your driver's license or photo ID
- Your insurance card (and the policyholder's date of birth if it isn't you)
- A current list of medications and supplements
- Any recent X-rays from a previous dentist, if you have them
- A note about anything you'd like us to know — anxiety, sensitivity, prior bad experiences
If you’re bringing a child under 18: a parent or legal guardian needs to be present for the first visit so we can review the medical history together and answer any questions about treatment.
If you have a medical condition we should know about — diabetes, heart conditions, joint replacements, blood thinners, recent surgeries — please mention it on your registration form. It changes how we sequence treatment, not whether we’ll see you.
If you’ve had X-rays elsewhere recently, ask the previous office to email them to fishersville@willisdentistry.com before your appointment. We’ll add them to your chart so we don’t duplicate imaging unnecessarily.
